SPEDLOCK: Innovation in electronic auditing with GeneXus
Spedlock, a cloud-based tool, is designed to review and detect inconsistencies in tax documents before they're sent to Brazil's Federal Revenue Service. This helps reduce errors and avoid fines for its clients.
SPEDLOCK facilitates the electronic auditing of SPED files (Public System of Digital Bookkeeping) before their submission to Brazil's Federal Revenue Service, the entity responsible for federal taxes and customs control in the country.
Developed by Softmen's in Olímpia, São Paulo, SPEDLOCK leverages GeneXus's Low-Code technology, provided by Céos TI, the official GeneXus distributor in Brazil.
The tool is intuitive and updated with the best tax practices. It is also integrated with the Federal Revenue Service and SEFAZ (State Department of Finance), the state body in Brazil responsible for fiscal and tax administration in each state.
Through this cloud application, medium and large companies can submit their SPED documents for analysis. Errors and necessary corrections are returned in an Excel document, making it easy to view and filter data according to the client's needs.
SPEDLOCK detects:
"Legislation is constantly changing, so we keep the rules in our database updated, considering the location of the CNPJ (National Register of Legal Entities), which is the registration number for legal entities in Brazil," explains Jalmir Mendonça, partner-director of Softmen's and developer of SPEDLOCK.
Additionally, SPEDLOCK cross-references information between XML invoices (both issued and received) and validates this data with the SPED file. This allows for verification of operations and identification of any invoices that have not been correctly recorded in the tax ledger. This cross-referencing helps avoid inconsistencies and issues with tax authorities.
Mendonça also highlights the agility and ease that GeneXus provides in the development of SPEDLOCK, allowing for quick updates to adapt to fiscal and user demands. "GeneXus allows us to evolve the system according to our clients' needs," he comments.
In the future, Softmen's will launch Taxfiscal, a tool to consult the tax legislation of all Brazilian states, adding more value for SPEDLOCK users, which already has 190 active clients, including agribusiness and pulp companies like Expocacer and Fila Canson of Brazil.
